Project Coordinator - 1 current opening
Job Description:
As a Project Coordinator you will work in a multi-disciplined consulting engineering firm with an excellent reputation in the industry. Reporting to the Director of Business Development, the Project Coordinator plays a key role in supporting the successful delivery of engineering projects by coordinating client communications, preparing proposals and quotations, monitoring project progress, and assisting engineers with scheduling and resource allocation. This position serves as a central point of contact between clients, engineers, and internal teams to ensure projects are completed efficiently, on time, and within budget.
Key Responsibilities
Client Relations & Communication
- Serve as a primary point of contact for clients regarding project inquiries, schedules, and status updates.
- Build and maintain positive working relationships with clients, consultants, contractors, and other stakeholders.
- Coordinate and attend conferences, and project review sessions.
- Document meeting discussions, action items, and follow-up requirements.
Proposal & Quotation Preparation
- Prepare project proposals, fee estimates, quotations, and supporting documentation.
- Coordinate with engineering and technical staff to obtain project scope, timelines, and pricing information.
- Track proposal submissions and maintain proposal records.
- Assist with contract administration and project initiation documentation.
Project Coordination, Scheduling & Tracking
- Assign incoming projects to appropriate engineering staff based on workload, expertise, and project requirements.
- Identify scheduling conflicts or resource constraints and assist in developing solutions.
- Maintain project databases, schedules, and tracking systems.
- Prepare construction contracts for signing, including printing and binding.
- Prepare project reports, progress summaries, and management updates.
- Ensure project documentation is organized, accurate, and up to date.
Team Support
- Support Engineers with administrative and operational tasks.
- Assist in the implementation and continuous improvement of project management processes and procedures.
Qualifications
- Diploma in Engineering Technology, Business Administration, Project Management, or a related field.
- 2–5 years of experience in project coordination, project administration, or a similar role, preferably within a consulting engineering, construction, or technical services environment.
- Must have a valid drivers’ license and vehicle in good working order to attend on-site.

- Experience preparing proposals, quotations, and project documentation.

Working Conditions
- Office-based with occasional travel to client sites, and industry conferences.
- Office Hours are 8:00am-5:00pm with one hour for lunch.
- Regular interaction with clients, engineers, contractors, and project stakeholders.
Salary
$50,000-$70,000 annual salary and benefits.

Building Sciences Project Engineer P.Eng. – Full Time
Job Description:
We are looking to add a Civil Project Engineer, P.Eng. to our team. Consideration will be given to EIT with relevant experience in building sciences.
As a Project Engineer or Project Associate, you will work in a multi-disciplined consulting engineering firm with an excellent reputation in the industry. Knowledge of Ontario Building Code and experience in the construction/restoration industry would be an asset. The successful candidate is someone who has a thorough understanding of industry practices, processes and a current working knowledge of applicable codes and standards for electrical systems in multi-unit residential, industrial, commercial, and institutional structures. You will be a results-driven individual with the ability to effectively manage your time and multiple, competing priorities and deadlines. As a senior engineer, you also have a proven track record in identifying trends and future business growth opportunities.
QUALIFICATIONS:
- Degree in electrical engineering from an accredited university
- P.Eng. designation in Ontario is mandatory and you must possess Professional Engineer’s seal relevant work experience in the market we serve or equivalent (multi-unit residential/condominium sector)
